Registration and Verification Peppol
Registering on the PEPPOL Network
To send and receive e-invoices via the PEPPOL network, you must be registered on this network. onFact handles this automatically: your PEPPOL address is generated based on the company number or VAT number you entered in the “Company Information” section of your account. However, to actively send and receive documents, you must verify your business once.
Why do I need to verify my business?
You verify your business in onFact to prevent invoice fraud. Through this verification process, we confirm that the individuals who register are authorized to send (and receive) e-invoices on behalf of the company. Only a legal representative of the company can complete the PEPPOL verification: this ensures that the company you wish to register on the PEPPOL network matches the identification details you provided. The verification process is very straightforward via ItsMe, an e-ID, or by uploading an alternative identity document.
Verify your company on the PEPPOL network
You can start the one-time verification from the PEPPOL tab:
Click on your email address in the top-right corner of onFact to open the menu
Go to “Company Settings”
Click on the “PEPPOL” tab on the left side
Step 1. VAT number

Check the data you entered, make any necessary adjustments, and click the green “Verify Company Numbers” button.
Step 2. Company Information

Based on the VAT number or business registration number you enter, we display the associated company information. This information is retrieved from the KBO registry and cannot be changed during verification.
Are you a new business owner, or was your company recently established? If so, the KBO registry may not yet have your company information on file. In that case, the fields above will be blank, allowing you to enter your company information manually.
Step 3. Identity

In order to send and receive documents via PEPPOL, we need to verify that you are a legal representative of your company. Identity verification can be done in three ways: via ItsMe, via E-ID (provided you have a card reader), or by manually uploading an alternative form of identification.
Step 4. Legal Representation
In the next step, information about the legal representative is compared with information retrieved from the KBO registry. In the event of a manual verification (e.g., because identification via ItsMe or E-ID is not possible), our support team will process the verification request within one business day.
Step 5. Verification

If verification is successful, you’ll see a confirmation in your account. At the bottom of the page, you can add an email address. If you’d like onFact to forward e-invoices to an email address upon receipt, you can enter that email address here. In any case, e-invoices will also appear directly in the “To Be Processed” list under “Purchases.”
Email address already on file in onFact: You can update the address to a specific email address where you want to receive invoices.
No email address on file: If you’d like onFact to forward e-invoices to an email address upon receipt, you can enter that email address here.
Step 6. Activating Your PEPPOL Inbox (optional)
Your company is now verified, and you can send documents via PEPPOL. If you also want to receive purchase invoices in onFact, you can activate your PEPPOL inbox here. To do so, click the green “Activate PEPPOL Inbox” button on the right side of the page. Do this for all company numbers displayed on this page. The activation will be confirmed immediately:

Error message: “Registered with another provider”
If your company is already registered on the PEPPOL network via another platform, you will see this message on the right-hand side. We will also indicate which software package you are currently registered with. Your company can only be registered on the PEPPOL network via one platform.
If you still wish to complete the PEPPOL registration in onFact, you’ll first need to deregister from PEPPOL services on the other platform.
To do this, it's best to contact the support department or help desk for the other software and ask them to remove your registration from the PEPPOL network.
As soon as you receive confirmation, you can continue the verification process via onFact.
Delete PEPPOL Registration
If you no longer wish to manage your PEPPOL registration through onFact, you can delete your PEPPOL registration. Click the red buttons on the right to completely remove your presence from the PEPPOL network via onFact.
Please note: This action takes effect immediately, which means that, as a business, you will no longer be able to receive e-invoices at that time.
